1. Acceptance of Terms

By accessing and using our website or booking a safari with us, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, you may not use our Service.

2. Booking & Reservation

Booking Process:

• All bookings must include complete and accurate customer information
• A deposit of 30% is required to confirm your booking
• The remaining 70% is due 30 days before travel
• Booking confirmation will be sent to the email provided

Availability:

All tours are subject to availability. We reserve the right to confirm or modify tour availability based on requirements and circumstances.

3. Cancellation & Refund Policy

Cancellation by Customer:

• 60+ days before travel: Full refund minus 5% administrative fee
• 30-59 days before travel: 50% refund of total cost
• Less than 30 days: No refund

Cancellation by Visit Africa Safaris:

We may cancel or modify a tour due to insufficient bookings, natural disasters, political unrest, or force majeure events. Customers will be offered alternative dates or full refunds.

4. Payment Terms

• All prices are in USD unless otherwise stated
• Payment can be made by credit card, bank transfer, or other methods outlined on our website
• All transactions are processed securely
• Currency exchange rates apply for non-USD payments
• Late payments may result in booking cancellation

5. Liability & Responsibility

Customer Responsibility:

The customer is responsible for:

• Obtaining valid passport and travel visas
• Checking vaccination and health requirements
• Obtaining appropriate travel insurance
• Following all safety guidelines and instructions from guides
• Informing us of any medical conditions or mobility restrictions

Company Responsibility Limitations:

Visit Africa Safaris acts as a travel coordinator and is not responsible for:

• Delays or cancellations by airlines, hotels, or tour operators
• Personal injuries, theft, or loss of belongings
• Natural disasters, weather conditions, or force majeure events
• Medical emergencies or health issues during travel
• Actions or omissions of third-party service providers
• Any indirect, incidental, or consequential damages

6. Travel Insurance

Travel insurance is strongly recommended and is not included in your package price. We encourage all customers to purchase comprehensive travel insurance covering trip cancellation, medical expenses, and emergency evacuation.

7. Special Requirements & Health

Medical Requirements:

• Customers must inform us of any medical conditions in advance
• Customers are responsible for obtaining required vaccinations
• Malaria prophylaxis is recommended for most destinations
• Pregnancy, heart conditions, and mobility issues require advance notification

Physical Requirements:

Some activities require physical fitness. Customers should be in good health and able to handle walking, rough terrain, and altitude changes.

8. Behavior & Conduct

Customers agree to:

• Follow all safety instructions provided by guides
• Respect wildlife and conservation regulations
• Treat all staff and other customers with respect
• Not engage in illegal activities
• Not be under the influence of drugs or excessive alcohol
• Respect local culture and customs

9. Website Content & Intellectual Property

All content on our website, including text, images, videos, and logos, is owned by Visit Africa Safaris or our partners. Unauthorized use is prohibited.

• You may not reproduce or distribute content without permission
• You may not use our website for commercial purposes
• You may not attempt to hack or disable our website

10. Changes to Terms

We reserve the right to modify these Terms & Conditions at any time. Changes will be posted on this page with an updated "Last Updated" date. Your continued use of our Service constitutes acceptance of updated terms.

11. Governing Law

These Terms & Conditions are governed by the laws of Rwanda. Any disputes shall be resolved in the courts of Kigali, Rwanda.
